EasyLife Inventory Management System

A full-stack inventory platform built for a multi-branch agricultural Product Dealer operating 25+ locations across Karnataka, managing over 15,000 products — stock, pricing, quotations, and branch coordination all in one system.

The problem

Managing inventory across 25+ branches manually creates real operational friction at scale. Below are the specific challenges EasyLife brought to us — and what was causing them.

No shared product catalogue

Before

Each branch maintained its own product list. Data was inconsistent and often outdated across locations.

After

One centralised catalogue with 15,000+ SKUs. All branches read from the same source.

Pricing was hard to keep in sync

Before

Price updates had to be communicated to each branch individually. There was no reliable way to push changes everywhere at once.

After

Admin uploads a single Excel file. All branches see the updated MRP and MOP prices immediately.

Quotations were slow and error-prone

Before

Staff looked up prices manually, calculated GST on a calculator, and typed the quotation out. A single quote could take 30–45 minutes.

After

Staff search for products in the system, add them to the quotation, and a GST-calculated PDF is generated and ready to print in under a minute.

No visibility across branches

Before

Admin had no way to see stock levels or activity across branches without calling each one directly.

After

Admin dashboard shows live inventory data and stock health across all branches in one view.

Stock transfers had no paper trail

Before

When a branch needed stock from HQ or another location, it was requested over phone or chat. Whether it was approved or shipped — nobody knew for sure.

After

Branches raise requests in the system. Each step — submission, approval, fulfillment — is tracked and visible to both sides.

No access control between branches

Before

There was no way to separate branch data. All staff had the same access regardless of their role or location.

After

Admin sees everything. Each branch has its own login with access scoped strictly to their own data.

Searching 15,000 products at the counter was slow

Before

Without a proper search tool, finding a product meant scrolling through long lists or recalling exact names from memory.

After

Live search with filters by name, category, brand, or SKU. Results appear as you type.

EasyLife IMS is built around two access levels — Admin and Branch. Admin has full control and visibility. Each branch operates within its own scope. Below are the key parts of the system.
